Job Summary
The Executive Administrative Assistant will possess the ability to work efficiently and diligently in a fast-paced environment, while managing the requests of C-Level Managers and other Senior Leaders. You must be able to work well with directors, executives and other employees. In the role, the incumbent will require a strong sense of responsibility and a keen eye for detail. You will be responsible for providing high-profile administrative support for Senior Leaders within the organization. Your ability to communicate effectively with leaders and other employees and exercising confidentiality will be essential in this position.
Responsibilities
- Screening calls and managing calendars – Maintains manager’s appointments, schedules meeting. Oversee travel arrangements and arranges conference calls.
- Reviews and prioritizes written communications directed to the Executive and resolves matters not requiring the personal attention of the Executive.
- Prepares routine correspondences for the Executive and assists in answering, delegating for response and follow-up, or directing to the Executive as appropriate.
- Keep abreast of all activities, issues and operations within Sealed Air in order to effectively prioritize, coordinate, and monitor progress on requests, responses to internal and external inquiries, and projects. Maintains tickler file for appropriate follow-up.
- Other administrative support includes, but not limited to: a) prepares routine reports; b) prepares/assist in annual budget; c) process and track vendor invoices, and (d) assures that office policies and procedures are maintained.
- Assist in preparing general, statistical, and presentation correspondence; Proofreading photocopy and facsimile requests, and organize project, documentation and filing needs for the Executive.
- Facilitate Domestic and International Travel, Meeting and Event Arrangements
- Manage documentation and other confidential matters
- Record, transcribe and distribute notes for meetings
- Interact with external clients as requested
- Provide back-up assistance for administrative team as needed
Qualifications
- BS degree
- 3-5 years’ experience supporting Executive Level management
- Proficient in Microsoft Word, Excel and Powerpoint
- Knowledge of SAP
- Ability to work well within a fast-paced, varied group setting
- Flexible and have the ability to work extended hours when necessary
- Superior interpersonal and presentation skills
- Exceptional time management and organizational skills
- Tremendous client service skills – proactive problem solving capability
