ROLE PURPOSE
Receive and distribute orders to appropriate departments and perform other administrative office duties. Interact with internal and external customers to assure proper receipt and shipment of orders to assure customer satisfaction.

PRINCIPAL ACCOUNTABILITIES
- Prepare documents and stage materials to ship from plant to plant via the STO process. Once the orders have shipped, you will be responsible for making sure that the order is released to allow receipt at the destination. Paperwork will be completed and filed by date.
- Receive materials that come in from other plants and scan them to a bin location with the ITS Mobile Handheld device.
- Communicate with production to ensure that orders are being produced to help prevent negative impacts on the OTC metrics.
- Communicate with customer service to expedite, change, or cancel orders to assure customer satisfaction. Corresponds with production manager daily to ensure all stock orders are filled by ‘oldest date’ from “possible late shipment shortage report” to ensure on time shipments. Maintains filing of shipping manifests in accordance with ISO.
- Prepare documents for orders to assure orders clear customs. Assists Shipping Coordinator in routing orders, freight quotes and inquiries, schedules shipments with trucking Companies. Fills in for Shipping Coordinator Role when out. Report production orders. Complete, maintain and release inbound data to assist in shipping orders in a timely manner.
- Answers/transfers all incoming calls to proper person or department to ensure efficient office communication. Consistently work to help company reduce interruptions due to personal calls. Verify material used, close production orders and unclosed projects on a daily basis to achieve plant goals. Assists/back up Shipping Coordinator in maintaining and printing all bills of lading for all shipments going FED-Ex Air/Ground and UPS Air/Ground. Assist in any cross-training for Order Coordinator Role.
QUALIFICATIONS
- High school diploma or GED. Additional office vocational training or college a plus.
- 2 plus years of administrative experience utilizing computer systems and providing service to others preferred.
- Knowledge of IFS a plus
- Experience in shipping and knowledge of shipping documents a plus.
- Ability to use computers, access information on systems, run reports, manipulates spreadsheets and issue reports.
- Proficient in Microsoft office: Word and Excel
- Customer service skills: handle inquiries (phone and email) in efficient, positive and professional manner.
- Good written and verbal communication skills.
- Attention to detail, organized.
- Ability to deal with constant interruptions while maintaining service and task focus.
- Dependable – excellent attendance. Able to work overtime as required.
